Proton Mail vs Tutanota: the real feature differences

Both are Swiss/EU-based, end-to-end encrypted for mail sent between their own users, and both offer a free 1GB tier to test before paying. The differences that actually change your day-to-day workflow are underneath the marketing:

The practical split: Proton Mail behaves like an email provider you can plug into the tools you already use — Thunderbird, Outlook, your phone's native mail app via Bridge. Tutanota behaves more like a locked appliance — nothing gets in or out except through its own apps, which is precisely what buys you the subject-line encryption, but it also means no drag-and-drop migration tooling and no client of your choice.

Note

Neither provider encrypts mail end-to-end when it's sent to or received from a normal Gmail, Outlook, or Yahoo address — encryption only applies user-to-user on the same platform, or when you manually password-protect a message. Most of your actual inbox traffic (newsletters, receipts, work contacts) won't be encrypted either way.

Migrating from Gmail: what actually breaks

When I moved my own inbox off Gmail to Proton Mail last year, the friction wasn't the encryption setup — it was everything downstream of the address itself. Two decades of "forgot password" links, loyalty accounts, and two-factor recovery emails were still pointing at the old Gmail address, and Google's own export tool (Takeout) dumps a .mbox file that Proton's import wizard reads fine, but contact and calendar data needs a separate CSV/ICS export first or it silently gets left behind.

The practical sequence that actually works: set up forwarding from Gmail to the new address first, keep both inboxes live for 60–90 days, and update accounts as their emails arrive rather than trying to hunt down every service you've ever signed up for in one sitting. Aliases are where Proton Mail earns its keep here — you can spin up a handful of @passmail or custom-domain aliases and route them all into one inbox, so you stop handing your real address to every service that asks.

Before switching, search your Gmail archive for "verify your email," "security alert," and "password reset" — that list is a faster way to find every account tied to the old address than trying to remember them.

Tutanota's migration path is thinner: it offers a basic Gmail/Outlook import for mail, but because there's no IMAP support, you can't point a desktop client at it afterward to keep managing both inboxes side by side during the transition — you're fully inside its web or app client from day one.

The self-hosted option: when it's worth it

Running Docker Compose stacks and a Proxmox cluster does not make self-hosted email a good idea — it's the one homelab category where "I run everything else myself" doesn't transfer, because the hard part isn't the software. Mailcow or similar stacks are genuinely straightforward to deploy, in the same territory as the self-hosted setups covered in our homelab beginner's guide. The hard part is IP and domain reputation: residential IPs are blacklisted by default on most major providers' spam filters, SPF/DKIM/DMARC records need to be flawless, and one misconfigured record can land every outbound email — including password resets you're expecting — in someone else's spam folder or nowhere at all.

Warning

A single missed or expired DKIM/SPF record on a self-hosted mail server can silently blackhole outbound mail for weeks before you notice — there's no dashboard warning you that Gmail started dropping your messages. This is the actual reason most experienced self-hosters still pay Proton Mail or Migadu instead of running their own SMTP stack.

The version of self-hosting that does work: buy your own domain and route it through Proton Mail's custom-domain support instead of running your own server. You get the portability (switch providers later without changing your address) without owning SPF/DKIM/DMARC reputation yourself. Who actually needs a private email provider

Gmail with a hardware security key (not SMS) for two-factor authentication, and no weak recovery email chained behind it, is a genuinely defensible setup for most people — Google's spam and phishing filtering is hard to beat, and the "privacy cost" is mostly ad-targeting signal, not account compromise risk. Switching to Proton Mail or Tutanota earns its keep for a narrower set of triggers: your email already appeared in a breach and you want a clean address with no trail, you correspond with sources or contacts who need PGP, you specifically want EU data residency outside US-based providers, or you've simply decided ad-supported free email isn't a trade you want to keep making. If none of those apply, the switch is mostly emotional relief rather than a measurable security gain — which is a legitimate reason to do it, just not the one the spec-sheet comparisons will tell you.
